At Coldlytics, we are committed to delivering high-quality, accurate contact data that meets your specific requirements. However, there are instances where certain data may be unavailable, such as when a requested contact cannot be located or when a valid email or direct dial is unobtainable. Here’s what happens in such cases:


When Data is Unavailable

  1. Contacts Cannot Be Found If we’re unable to locate a contact that matches your Ideal Customer Profile (ICP), that contact will be excluded from the final list.

  2. Invalid or Undeliverable Emails All email addresses are verified before delivery. If we cannot provide a valid, deliverable email address for a contact, it will not be included in your list.

  3. Unavailable Direct Dials If direct dials (phone numbers) are requested but cannot be found for a specific contact, you will not be charged for those phone numbers.


How Are Credits Handled?

Whenever data is unavailable, Coldlytics automatically refunds credits for the undelivered information. Here’s how it works:

  • Reserved Credits Are Returned
    At the time of task submission, credits are reserved for the total number of requested contacts and data types (e.g., emails, direct dials). If certain data cannot be delivered, the unused credits are refunded to your balance.

Example:

  • You request 100 contacts with direct dials (200 credits reserved).

  • Only 80 direct dials are available.

  • 20 credits are refunded to your account.


Catch-All Domains and Email Quality

For companies using "catch-all" email servers (where deliverability cannot be fully verified), we use AI scoring to assess quality. Only emails with a deliverability score of 90% or higher are included in your list. If no high-quality catch-all emails are found, credits for those contacts will also be refunded.


Notification of Adjustments

Coldlytics ensures full transparency in case of unavailable data:

  1. Completion Email: When your task is delivered, you’ll receive an email outlining the results, including any adjustments due to unavailable data.

  2. Dashboard Updates: Your task summary will reflect the final number of delivered contacts and refunded credits.


Why Might Data Be Unavailable?

Several factors can lead to data unavailability:

  • Niche or Over-Specific ICPs: Highly restrictive criteria may limit the number of matching contacts.

  • Outdated Online Information: In some cases, publicly available data may not reflect the most current information.

  • Privacy Restrictions: Certain individuals or companies may limit their online presence or contact information.


How to Minimize Data Unavailability

To increase the likelihood of receiving your full request, follow these tips:

  • Broaden Your ICP: Expand your criteria slightly to include related roles, industries, or locations.

  • Refine Additional Filters: Avoid over-constraining your task with too many niche filters.

  • Use Voyager DB First: Start by identifying companies that fit your target criteria and submit only those for contact research.
